Contact Pipeline

The Contact Pipeline shows where all your contacts stand. You can see how many are at each stage, how many deals you’ve won or lost, and how each person on your team is doing.

Head to CRM → Contact Pipeline in your dashboard to open it.

Which contacts are counted

The Contact Pipeline counts all your contacts, no matter when they were added, including the ones you’ve already won or lost.

The six stages

Every contact is in one of the six Contact Lifecycle stages. They’re the same stages you see when you open a contact:

  1. Signal: early interest or intent detected
  2. Fit: qualified as a good match
  3. Build: the relationship is developing
  4. Close: the final conversation or decision stage. On a contact’s page, this stage is called Close Sale or Inquiry.
  5. Won: converted successfully
  6. Lost: no longer moving forward

The first four stages are deals still in progress. Won and Lost are final outcomes.

To move a contact to another stage, open it from the Contacts page. The pipeline updates to match.

Contact lifecycle summary

The first card shows one box per stage. The four in-progress stages are numbered Step 1 to Step 4, Won is shown in green, and Lost in red. Each box shows:

  • How many contacts are at that stage right now
  • A short description of the stage
  • Share of contacts: the percentage of all your contacts at that stage. On the Lost box, this is labeled Outcome share.

In the top-right corner of the card you’ll see your win rate, along with how many contacts you’ve won and lost.

How the win rate works

Your win rate only looks at deals that have finished: of all the contacts that reached Won or Lost, what percentage did you win?

For example, if you’ve won 30 contacts and lost 10, your win rate is 75%. Contacts that are still in progress don’t change your win rate until they’re won or lost.

Keep an eye on where contacts gather before the finish line. A big group stuck at Build can mean deals need a nudge to reach Close.

Contacts by team member

The second card, Assigned contacts by lifecycle stage, has one row for each person on your team. Each row shows:

  • How many of their contacts are at each of the six stages
  • Their own Win rate, worked out the same way as above

This makes it easy to compare who is moving deals forward, who is closing the most, and who might need support.

Click View all contacts to jump to the Contacts page.

Refresh and export

  • Refresh reloads the numbers, so you see changes your team has made since you opened the page.
  • Export report downloads an Excel file with one row per team member (their stage counts and win rate) and a Total row at the bottom. It’s handy for team meetings or keeping a monthly record.

Who sees what

  • Account owners and admins see every contact in the business and a row for every team member.
  • Teammates see the contacts they own.

Mine and My Team

If a teammate belongs to a team that Shares Contacts (see Sharing contacts with a team), a Mine / My Team switch appears at the top of the page:

  • Mine shows only their own contacts.
  • My Team shows the contacts owned by everyone in their team, with a row for each team member.

Assistloft remembers your choice. The same switch also controls the CRM dashboard, the other pipeline pages, and Follow-ups, so you don’t have to set it again on each page.
