Follow-Ups

Follow-Ups is your team’s to-do list for getting back to people. Every lead and contact with a follow-up date shows up here in one list, so nobody waits too long to hear from you.

Head to CRM → Follow-ups in your dashboard to open it.

How someone gets on the list

A lead or contact appears here once it has a Follow Up Date. You can set one when you add a lead or contact, or later from its General Info tab.

The list shows:

  • Everything that is overdue, however long ago it was due
  • Everything due today
  • Everything coming up in the next 14 days

The earliest follow-ups are at the top. Leads you’ve converted to a contact don’t appear here, since they’re archived.

Dates and times follow your business’s time zone, which you can change under Company → Settings.

Filtering the list

Use the All, Leads, and Contacts buttons at the top to show everyone, only leads, or only contacts.

Below them, five boxes give you a quick count:

  • Total due: everything on the list
  • Leads: how many are leads
  • Contacts: how many are contacts
  • Overdue: follow-ups whose time has already passed
  • Due today: follow-ups due later today

Reading a follow-up

Each follow-up on the list shows:

  • Whether it’s a Lead or a Contact
  • How urgent it is: Overdue, Today, or Upcoming
  • Its current stage, like Responded or Build
  • The person’s name, company, email, and phone number
  • The follow-up date and time
  • The Owner, the teammate responsible for it
  • A Recommended next step

Click the person’s name, or the person icon next to Snooze, to open their full details without leaving the page.

Assistloft suggests what to do next for each person. It’s one of these:

  • Assign an owner
  • Follow up now
  • Send first follow-up
  • Reply to customer
  • Give them a call
  • Qualify their needs
  • Send a quote or pricing
  • Book a meeting or demo
  • Close the deal
  • Welcome the new customer
  • Re-engage later
  • No next action

It’s only a suggestion. When you complete a follow-up, you choose the next action, and from then on that’s the one you’ll see, here and on the Revenue pipeline.

Snoozing a follow-up

Not the right time? Click Snooze and pick when it should come back:

  • Later today: about two hours from now
  • Tomorrow: tomorrow at 9:00
  • In 3 days: three days from now at 9:00
  • Pick date/time: choose your own date and time

The follow-up date is updated, and the follow-up moves to its new place in the list.

Completing a follow-up

Once you’ve followed up, click Complete to record what happened.

Choose the outcome

Pick what happened: Contacted, Left message, No response, Reply sent, Meeting booked, Moved stage, Won, or Lost.

Choose the next action

The recommended next step is already selected. Change it if you have a different plan.

Add a note (optional)

Add any details your team should know.

Schedule the next follow-up (optional)

Tick Set a next follow-up date and time and choose when to check in again. It starts at tomorrow, 9:00.

Click “Complete follow-up”

The outcome, next action, and your note are saved to the lead’s or contact’s Notes tab, so your team can see what happened.

  • If you scheduled a next follow-up, the person stays on the list with the new date.
  • If you didn’t, their follow-up date is cleared and they leave the list.

Completing a follow-up doesn’t change the lead’s or contact’s stage, even if you choose Moved stage, Won, or Lost. To move someone to a new stage, open their details and click the stage in their lifecycle.

Who sees which follow-ups

  • Account owners and admins see every follow-up in the business.
  • Teammates see follow-ups for the leads and contacts they own, plus any unassigned leads they created.

Mine and My Team

If a teammate belongs to a team that Shares Leads or Shares Contacts (see Sharing leads with a team), a Mine / My Team switch appears at the top of the page:

  • Mine shows only their own follow-ups.
  • My Team shows follow-ups for everyone in their team.

Assistloft remembers your choice. The same switch also controls the CRM dashboard and the pipeline pages, so you don’t have to set it again on each page.
