Importing Your Knowledge Base

If you already have an FAQ page, a help document, or a PDF with product or policy information, you don’t have to retype it all by hand. Import it, and Assistloft will turn it into Q&A pairs for your Knowledge Base — you just review and approve the ones that look right.

Head to Knowledge Base → Import in your dashboard to get started.

Starting an import

Click “New import”

Choose a source type

  • PDF — upload a document from your computer. Pick Structured Q&A PDF if the file is already formatted as questions and answers, or General PDF to have Assistloft read the document and figure out the Q&A pairs itself.
  • URL — paste the link to a page on your site, like your FAQ page, and Assistloft will scan it.

Review what comes back

Once an import finishes, it will appear in your sources table with a status:

  • Needs review (amber badge) — indicates there are newly extracted questions awaiting your approval or rejection.
  • Ready (emerald badge) — indicates all questions from this source have been fully processed (approved or rejected).
  • Q&As removed (slate badge) — appears when the Q&A pairs for a source have been deleted. All pairs from that source, including previously approved and rejected pairs, are reopened for review.

Click View questions on that source to see everything Assistloft found. You can click directly into a question or answer to edit it before choosing Approve or Reject.

Nothing from an import reaches your Assistant automatically. Each question and answer stays out of the Knowledge Base until you approve it, so you’re always in control of what your Assistant is allowed to say.

Organizing and sorting imports

To help you manage your knowledge sources easily:

  • Sort by column headers — Click on any header (such as Source, Type, Status, Questions, Approved, or Imported) to sort the list ascending or descending.
  • This allows you to quickly locate your newest uploads, check which sources still have pending questions, or filter by document type.

Import limits

Your plan includes a set number of PDF imports and URL scans. Your Knowledge Base import page shows how many you’ve used and how many you have left, so you’ll always know before starting a new one.

What’s next

Once an item is approved, it moves into your Knowledge Base alongside everything else — you can edit or delete it there just like a manually added question. Keep things fresh by editing existing questions or adding new questions by hand as they come up.
